Summary

This optional tool we feel is the icing on the cake. In 2007, my homeowners association loused up my account so bad it was close to impossible to figure out. I spent hours with my HOA, going back and forth with them, trying to figure out the confusion. It didn't help that my records were less than impeccable, I'll admit. We changed management five times in three years trying to find one that would work out for us. Each management company has its own system of accounting, so every change in management may consequently result in disarray and burden the members within the HOA. Our system acts as a back up and stores homeowners association statements. By offering this unique feature, we anticipate to set the standard by allowing free use of this system to the management companies who manage our clients. We understand this is a big undertaking, but to have that icing on the cake, the icing has to be with the cake.

Below we have some of the ways you can search and sort your statements and payments you post to your statements.

By Dates - or date range, for example, December 2006 to December 2007.

By Payment Status -View all statements that are payment pending, past due, paid, or view all at once.

Allows for sorting - You can sort by statement#, months, check#, statement type, charges, payments, balance due status, and more.

View all your monthly assessments - Reconcile your own account for review.

Email Notifications - You will receive email on a monthly basis notifying you that your statement is prepared, your payment is received, past due, or if there is a concern regarding your statement. Management can at anytime send you an email regarding any statement.

Printable Statements - Since there is a probability that not everyone will take advantage of the web site, your management will easily be able to print out statements for homeowners who choose to receive statements via snail mail. They would just sort out statements to be mailed, and select "print statements."

Note Keeping - With your statements, your management will have note tracking. Within the notes, all emails sent are recorded. Here is an example: Homeowner is past due, the management first sends an email regarding a past due balance, it is automatically applied in the notes with a date and time stamp. They then call the homeowner the next day and have a conversation about the payment. Managemnt can keep a record that they contacted the homeowner and their past due balance is due. Again, a date and time stamp will be recorded.

Auto generated monthly statements - Each month on a pre determined date by your management, your statements will be automatically created. They will be created and emailed to the homeowners without any action taken from management. One more time saving component our web site offers.

Benefit

Each statement prepared monthly cost $0.39 cents per homeowner per month for postage alone plus costs for printing. Most associations receive two statements per month; one from its association and the other from the master planned association. Automated billing and payment with no paper traffic involvement saves the association money and time. In addition, less paper means less deforestation thereby saving the environment.
